Stress-Free Group Travel in Edmonton: Tips for Seamless Planning and Booking

Group Travel Doesn’t Have to Feel Impossible

Whether you’re organizing a family reunion, a sports team trip, or a weekend getaway with friends, planning group travel can feel like trying to piece together a puzzle with too many moving parts. Managing schedules, finding accommodations, ensuring everyone is happy, and keeping everyone on track—it’s no wonder group travel can feel overwhelming!

But don’t worry—Edmonton’s vibrant attractions and wide variety of accommodations make it the perfect destination for groups. With a little strategy and the right tools, you can turn a potentially chaotic process into a smooth, enjoyable experience.

Here are six essential tips and tricks for planning and booking a successful group trip to Edmonton.

1. Start Planning Early

When it comes to group travel, time is your best friend. Starting early allows you to coordinate schedules, research the best accommodations, and lock in great rates before they rise. Aim to book at least 6–8 weeks in advance—or earlier if your trip coincides with Edmonton’s busy festival or sports seasons.

2. Choose Accommodations Close to Edmonton’s Top Spots

Keeping your group close to the action makes everything easier. Whether you’re attending a sports event at Rogers Place, exploring the shops and attractions at West Edmonton Mall, or heading to a conference at the Edmonton Expo Centre, staying near your destination helps you maximize time and minimize stress.

3. Stay Organized with the Right Tools

Coordinating a group trip means juggling a lot of details—flights, check-in times, meal plans, and activities, to name a few. Keep everyone on the same page by using tools like Google Sheets to share itineraries or apps like TripIt to centralize travel details. For communication, set up a group chat or messaging thread so updates are easy to share.

4. Align on Priorities Early

What does your group need to make this trip enjoyable? Whether it’s affordable options, specific amenities like free breakfast, or proximity to certain attractions, having these priorities in mind makes the booking process much smoother. Aligning on preferences ahead of time ensures that everyone’s expectations are met.

Pro Tip: Use Edmonton’s Best Hotels’ search filters to find properties that match your group’s specific needs.

5. Book Smart for Your Group’s Needs

Booking accommodations for a group can be tricky, but it doesn’t have to be stressful. Look for properties that offer flexibility with room types, like doubles, suites, or family-friendly layouts. Make sure to reserve the number of rooms your group will need to stay comfortable and avoid surprises at check-in.

6. Don’t Overpack the Schedule

It’s easy to get carried away with a packed itinerary, but remember: downtime is just as important as activities. Whether it’s a relaxed evening at the hotel or free time to explore Edmonton’s neighbourhoods, building in flexibility keeps the trip fun and avoids burnout for your group. Many of Edmonton’s Best Hotels feature relaxing amenities like pools, gyms, or cozy lounges—perfect for unwinding after a busy day exploring the city.

Rewards provided for more than one night, must be for consecutive nights under one registration under one name at one property. In addition, no more than up to three consecutive nights will be honoured. If a guest checks in for three days and then checks out and re-checks in for the next day, this is considered a consecutive night booking even if the second booking is made at different hotel.

There must be a minimum of three days between bookings.

Multiple reservations for the same person for the same night(s) is considered a double booking and only one of those bookings will be eligible for rewards. For example, if a guest books two nights on x and y date and then makes another two-night booking for the same dates at the same hotel or another hotel, EBH considers this a double booking and will honour rewards for only one of those bookings.

Is there a limit on the number of bookings I make on different dates?  Edmonton Best Hotels welcomes repeat business.  Some of our guests visit Edmonton every month.  Please note as stated earlier there must be a minimum of three days between bookings. Please also note stated blackout dates.
